Tip Of The Week : Music to my ears
The music will set the tone of any event so it is important to get that tone correct! There are different things that can be done according to your budget. You may choose to have a CD mix, a DJ or a band. For this weeks purposes I will focus on the more elaborate and intricate option of finding the perfect band and then ensuring that you get the most for your money.
Step 1- Finding the perfect band. I would suggest searching well in advance (6 months at least for a wedding) for the right band that will suit your musical direction. You may ask friends for recommendations, go to bridal expos or look in your local paper who is playing at lounge bars, jazz clubs etc. Just ensure that if the band you choose doesn't normally cover weddings, that they are aware of the running schedule! You can also turn to entertainment agencies or agents (there are a few on the coast).
Step 2- The contract. This part can be difficult as every detail needs to be spelt out (that may seem silly but do not assume anything). From the correct spelling of the bands names down to a specific song list or style (please do mention which songs you do not want to be played). The logistics need to be worked out in advance. The band needs to be advised how to get to the venue, where to enter the venue (perhaps back door or vendor entry), the set up, the contact at the venue, the food and drinks for the band, BREAK TIMES (yes in capitals as this is crucial), the transport arrangements, overtime and any other additional costs that may occur (such as extra luggage on a plane if they are travelling from another state). The other part that you may wish to consider is the size of the band. If the usual band is a 6 piece but your venue is average size, then a six piece band could be far too much, perhaps 4 piece band would suffice. Ask the band members and judge it for yourself. This way you could save some money on the way.
Step 3- The choice of music. The musical choice should depend on what type of event you are hosting. At weddings, it is wise to have a broad range to satisfy all the guests. If you want a specific song to be played ensure that the band leader is aware during your first meeting with them, so that if they do not know the song, they have ample time to learn it. If the event is a cocktail party then a small jazz band will do as it will add a pleasant and elegant feel to the room and not be too loud ensuring the guests can have nice conversations!
